Refund Policy

SOUTHERN WEDDING MEDIA LLC – CANCELLATION & REFUND POLICY

Effective Date: June 2026

At Southern Wedding Media LLC, we dedicate our time, professional resources, and equipment entirely to your scheduled event. Because we take on a strictly limited number of clients and turn away other prospective bookings once a date is secured, our refund and cancellation policies are firm and legally binding.

By submitting a retainer or executing a Master Event Media Agreement with us, you formally agree to the following terms.

 

1. THE NON-REFUNDABLE RETAINER To officially secure your event date on our calendar, a 50% retainer is required.

  • Liquidated Damages: This retainer is strictly non-refundable under all circumstances. It serves as agreed-upon liquidated damages to compensate Southern Wedding Media LLC for reserving your date, turning away other potential business, and initiating pre-production administrative work.

 

2. CLIENT CANCELLATIONS & RESCHEDULING If you choose to cancel your event or our services, the following refund structure applies:

  • Standard Cancellation: If you cancel your event at any time, Southern Wedding Media LLC retains the non-refundable retainer.

  • Additional Payments: If you have made subsequent payments toward your final balance beyond the initial retainer, those additional payments will be refunded to you in full upon formal, written notice of cancellation.

  • Rescheduling: Postponing or rescheduling an event to a new date is treated as a cancellation of the original agreement. The original retainer is forfeited. A new Master Agreement and a new retainer will be required to secure the new date, subject to current pricing and availability.

 

3. DIGITAL DELIVERABLES (NO RETURNS) Southern Wedding Media LLC provides exclusively intangible, digital goods (high-resolution galleries and uncompressed RAW photo files) delivered via secure cloud-based links.

  • Because digital files cannot be "returned" once they have been downloaded or accessed, no refunds will be issued after the final media gallery or RAW file link has been delivered to the client.

 

4. EVENT DAY DISRUPTIONS & LIMITATIONS A live event is a fluid environment. We do not offer partial or full refunds for missed deliverables, diminished coverage, or compromised media resulting from:

  • Client Delays: The wedding party, venue, or other vendors running behind schedule.

  • Venue Restrictions: Strict "house rules," flash bans, or physical positioning limitations imposed by the venue, church, or officiant.

  • Unsafe Environments: If our media team must suspend services and leave the premises due to verbal abuse, physical threats, safety hazards, or harassment from guests or other vendors, no refunds will be issued and the full balance remains due.

 

5. SERVICE PROVIDER CANCELLATION & FORCE MAJEURE We take our commitment to your event incredibly seriously. However, in the unlikely event that Southern Wedding Media LLC cannot fulfill its duties:

  • Extreme Circumstances: In the event of severe illness, emergency, or injury, we reserve the right to substitute an associate professional of comparable skill to fulfill the agreement at no additional cost to you.

  • Maximum Liability: In the extremely rare event of catastrophic gear failure, technical malfunction, data corruption, or a force majeure event (acts of God, natural disasters) that completely prevents the performance of this contract and no deliverables can be provided, Southern Wedding Media LLC’s maximum liability is strictly limited to a full and complete refund of all monies paid by the client, including the initial retainer.

 

6. DISPUTES & CHARGEBACKS Any fraudulent chargeback or payment dispute filed by the client following the delivery of services or digital goods constitutes a material breach of our Master Agreement. Such actions will incur a $250 penalty fee, plus all associated legal and collections fees necessary to recover the funds.
